Record damage on a Manheim gate pass

Select the vehicle part, damage and size. Add photos, then save the generated codes and photo QR on the gate pass.

Open the inspection#

  1. Open the correct load and gate pass

Find Pickup documents in Loads. The gate pass must be ready to open. See how files unlock at pickup.

  2. Select Record pickup damage

Choose this action under the gate pass, then select Start inspection. If you already have a draft, use Continue inspection. Each inspection belongs to the selected gate pass.

Use a readable Manheim ONSITE VEHICLE RELEASE PDF with the blank lower notes area. JPG and PNG gate passes are also supported; their notes are added below the original image in a PDF.

Choose a part, damage and size#

  1. Choose the vehicle view

Use Left, Right, Front, Rear or Top. Tap the affected part on the diagram or select it from the part list.

  2. Select the damage type

Choose the observed damage, for example Scratch. The available types depend on the selected part. Use Change part if you selected the wrong area.

  3. Select the size

Where requested, measure at the longest point and choose the matching size. The app generates the damage code from these selections.

  4. Add the damage and take a photo

Select Add damage & take photo. Allow camera access when prompted and take a clear photo of that damage. If you close the camera, return to the saved entry and use Take photo or Choose photo.

Choose the affected part of the vehicle. Screens show example data.
Example: left front door + scratch + over 3–6 inches generates 10-12-3. Screens show example data.

Review each damage and its photos#

Add at least one photo for every damage entry; you can attach up to three photos per entry. Use Edit to correct a selection or × to remove an entry. Record other affected parts as separate entries. An inspection supports up to 40 entries.

Preview and save on the gate pass#

  1. Select Review gate pass

Check the parts, damage types, sizes, codes and photos. Share codes to copy lets you copy the codes if you also need to write them on a paper pass.

  2. Preview the document

Select Preview gate pass. Check the damage notes and photo QR in the lower blank area. Previewing does not finish the inspection.

  3. Finish the inspection

Select Finish & save on gate pass, then confirm Finish. The completed record is saved and can no longer be edited.

  4. Open or share the result

Use Open annotated gate pass for the PDF and Share damage photos for the photo-gallery link. The original uploaded gate pass is preserved.

Finish the inspection to make the annotated PDF and photo link available. Screens show example data.

Print a copy for Manheim guard check#

  1. Open the annotated gate pass

Select Open annotated gate pass after finishing. Check that the codes and photo QR appear on the document.

  2. Print or send the PDF

Use the document viewer or phone share menu to print, save or send the PDF. If staff are printing it for you, send the annotated version.

  3. Leave a copy at guard check

Give the printed pass to Manheim guard check for the pickup record, following the location’s process. The printed QR opens the damage photos.

Continue a draft or recover from an error#

Draft edits and captured photos are saved on this phone. If you lose connectivity after starting an inspection, continue recording in the same app and reconnect to sync. An initial inspection, PDF preview and final save need a connection. Wait until uploads finish before finalizing.

Reopen Continue inspection on the same gate pass if needed. If the PDF has no suitable notes area, upload a supported Manheim release or a clear JPG/PNG through your dispatcher. See inspection troubleshooting.
